Dear 1st Wargrave Scout Group Parent or Leader/Helper,
As you will have probably heard the new General Data Protection Regulation (GDPR) comes into force on 25th May this year and will significantly update privacy laws, giving you more control over how your data is used and how you are contacted.
You receive emails from 1st Wargrave Scout Group because you have previously agreed to be included on our database, either by filling out a form from our Beaver, Cub or Scout sections, attended a camp or an event or responding to an email we have sent asking if you would like to join us.
We send emails to you so that we can keep you updated on section programmes, events, information related to Scouting. We hope that you will want to stay informed with emails from 1st Wargrave Scout Group.
Here is a little information to reassure you:
- We always treat your personal details with the upmost care. Your personal details (which amounts to: name, address, telephone number, email address and, in the case of your child any relevant medical issues) are for our use only in connection with the smooth running and administration of the scout group and your email address is stored securely and never shared with any third parties.
- All the emails you receive are created by 1st Wargrave Scout Group and you may unsubscribe from our databases at any time by responding to an email and we will update your preference. You can also ask for your details to be deleted at any time from our databases. We use two databases, both of which are password protected and have limited access to only those who need to refer to them, “Online Scout Manager” is used for child, parent/carer, adult leader and helper information which includes: contact information, badge and attendance records, medical issues (where relevant) and subscription records. This is administered by and as such has access restricted to, the leadership of each group section. The second database is the UK Scout Association “Compass” system which is used for uniformed leaders, section assistants and those occasional parent helpers who have agreed to go through the DBS checking system. Access to compass is restricted to myself and uniformed section leaders.
